How Could You Use Your Time More Effectively? A Property Manager's Guide to Automating the Routine
It's 2:47 on a Tuesday afternoon. You've texted three cleaners to ask if they've started the clean, refreshed the reservation calendar four times, copied a same-day booking into the schedule by hand, and answered "what's the Wi-Fi password?" for the second time today. You haven't eaten lunch. You also haven't done a single thing that will make next month better than this one.
So here's the question we want to ask, with love: how could you use your time more effectively? Not in a hustle-culture, color-coded-calendar way. In a "what would you do if the routine stuff just handled itself" way. Because for most property managers, that's not a hypothetical. It's a settings page.
The usual suspects: where your week actually goes
Before we talk about what you could be doing, let's name the time thieves. If you run short-term rental operations, you'll recognize at least four of these.
- The Turnover Text Chain. "Hey, are you at Seaside 4 yet?" followed by eleven minutes of silence, followed by a thumbs-up emoji that could mean anything.
- The Spreadsheet Shuffle. A booking comes in, and someone re-types it into the cleaning schedule. Then someone else re-types it into the inspection list. Same info, three homes, zero joy.
- The Did-Anyone-Check-the-Hot-Tub Mystery. Everyone assumed someone else did it. Nobody did. The guest found out first.
- The 11 p.m. Door Code Message. The guest needs it now, and you're the only one who knows where it lives.
- The Owner Report Scramble. End of month arrives, and you're digging through photos and texts to prove the work actually happened.
None of these tasks are hard. That's the problem. They're easy, constant, and just important enough that you can't ignore them, so they quietly eat the hours you meant to spend on the work that moves your business forward.

Stop chasing status updates. |
Automate the routine, then what?
When reservations create tasks on their own, schedules fill themselves, and guests get the right message at the right moment, you get time back. Here are seven better ways to spend it, ranked loosely from "good for business" to "good for your soul."
1. Talk to your owners before they call you
Most owner conversations are reactive: something broke, a review went sideways, occupancy and revenue dropped. With routine work running in the background, you can schedule proactive check-ins, share wins, and walk through upcoming maintenance before it becomes a surprise. Owners who hear from you on a good day are a lot more forgiving on a bad one.
2. Walk a property like a guest would
When was the last time you stood in one of your homes and looked at it with fresh eyes? Sit on the couch. Open the junk drawer. Try the shower. The small stuff you notice in twenty minutes is often exactly what guests mention in reviews.
3. Coach your field team instead of chasing them
There's a big difference between "did you finish?" and "here's how we can make turnovers smoother." When task status, photos, and checklists come in automatically, your conversations with field teams can shift from status updates to skill building. That's how good teams become great ones, and how great ones stick around.
4. Finally fix the thing you keep saying you'll fix
Every operation has one: the recurring maintenance issue, the clunky handoff between housekeeping and maintenance, the checklist nobody has updated since 2022. Freed-up hours are the perfect time to build a preventive maintenance plan or tighten up a process that's been costing you quietly for years.
5. Grow without adding a scheduling army
If adding ten homes means adding another coordinator just to keep the calendar straight, growth gets expensive fast. Automating the routine means your existing team can handle more properties without drowning, which makes saying yes to new owners a lot less scary.

Add homes, not coordinators. |
6. Sweat the guest details that earn five stars
The difference between a four-star and a five-star stay usually isn't the big stuff. It's a welcome message that arrives at the right time, a home that's consistently spotless, a quick answer to a small question. Automation handles the timing and the consistency, so you can spend your energy on the personal touches that make guests come back.
7. Take a lunch break. Sitting down. Away from your phone.
We're serious about this one. Property management is a marathon with surprise sprints, and nobody does their best thinking while eating a granola bar in the car between properties. Recovered time doesn't all have to go back into work. Some of it should go back to you.
What "automating the routine" looks like in practice
This isn't about replacing people. It's about letting software handle the repeatable parts so people can handle the parts that need judgment and warmth.
In Breezeway, that looks like:
- Reservations that create the work. When a booking comes in, cleaning, inspection, and maintenance tasks are generated automatically based on rules you set once.
- Scheduling that thinks ahead. Tasks get assigned based on availability and location, so you're not playing calendar Tetris every morning.
- Checklists with proof built in. Field teams complete digital checklists with photos, so you know the hot tub was checked (and so does the owner).
- Issues that route themselves. A cleaner spots a broken lamp, reports it on the spot, and it goes straight to maintenance instead of into a group text.
- Guest messages on autopilot. Door codes, check-in details, and mid-stay check-ins go out at the right moment, including 11 p.m.
Try a five-day time audit
Keep a sticky note on your desk this week. Every time you do the same small task for the second time (texting for a status update, re-typing a booking, resending a door code), add a tally mark next to it. On Friday, anything with five or more marks is a strong candidate for automation. Most teams are surprised by what shows up.
The real answer to the question
How could you use your time more effectively? Probably not by squeezing more into the day you already have. The bigger win comes from taking the routine off your plate entirely, then deciding on purpose where those hours should go. Better owner relationships, a stronger team, happier guests, room to grow, and yes, a real lunch. The routine will always be there. It just doesn't have to be your job anymore.
