How Geographe Holiday Homes gained real-time visibility and scaled operations with Breezeway
Geographe Holiday Homes manages a growing portfolio of more than 200 holiday homes along Geographe Bay in Western Australia, handling everything from guest communications to cleaning, inspections, and maintenance on behalf of property owners.
The Situation
Geographe Holiday Homes could assign a cleaner to a property, but had no visibility into what happened next. The team used a workforce-scheduling app to send staff to job "locations," but once someone was checked into a shift there was no way to confirm they had actually wrapped up one property and moved on to the next. Shifts would run long, and the team wouldn't know whether the following clean had even been started. There was no integration with their PMS Homhero.
That gap showed up as missed cleans, no-shows that went unnoticed until a guest arrived, and no record to point to when a guest insisted a property hadn't been serviced. On top of routine turnovers, the office was fielding a constant stream of ad hoc requests, from tracking down lost items, dropping off an extra cot, arranging a carpet clean. All of which had to be relayed to cleaners by phone or text, with no easy way to confirm the extra task got done.
The Solution
Geographe Holiday Homes brought in Breezeway to centralize scheduling, task management, and checklists in one platform. Breezeway’s direct integration with their Property Management Software, Homhero ensures a departure clean and a follow-up inspection are created automatically for every reservation, with nothing scheduled by hand.
Breezeway's dashboard provides the team real-time, color-coded visibility into every job - rostered, accepted, in progress, or completed - replacing the guesswork of the old location-based scheduling system. Customizable checklists let every property carry its own owner-specific instructions, with the team now relying on templates for everything from bin collection to owner-stay inspections to onboarding new properties.
"We didn't have the visibility to effectively monitor who was cleaning each property or ensure consistent standards were being followed. Missed cleans and attendance issues were difficult to track, and when guests complained that something hadn't been cleaned, we had limited ability to verify what had actually been completed. Having structured checklists and oversight has significantly improved accountability and quality control."
The Results
Automating scheduling to support fast growth
Reworking a schedule used to mean manually rebuilding a roster by hand whenever a cleaner called in sick. Now the team can reassign a task in a few taps, with Breezeway automatically notifying cleaners and tracking who has accepted, freeing up more than a couple of hours a day that used to go into scheduling alone.
“Rostering is much easier to change if someone says, no, I can't do this shift, or you need to move things around. Because of that, I've been able to scale quite quickly. Breezeway lets us streamline the tasks and the processes.”
Giving owners confidence with customized checklists and reporting
Every property comes with its own set of owner preferences, and the team uses Breezeway's property-specific checklists to make sure nothing gets missed: from a standard turnover routine to an extra check a particular owner has asked for. When an owner has a question, Wilde's team can now point to the record instead of relying on memory.
“Owners want confidence that their property is being properly managed. With detailed reporting, we can show exactly what tasks have been completed and when. If a maintenance issue arises, we can also demonstrate when it was first identified and reported, providing transparency and assurance that nothing has been missed.”
Building staff accountability with color-coded status and on-site reporting
With a large casual workforce, Geographe Holiday Homes needed a system new hires could learn quickly and rely on every day. The color-coded status system in Breezeway's dashboard has been core to that from day one and the accept/decline workflow means the team gets an automatic notification the moment a cleaner declines a task, instead of a scramble of texts, and can reassign it right away.
Maintenance reporting has delivered a similar shift. Cleaners can now photograph an issue and log details, like an appliance's serial number, directly from the property, so a manager no longer has to drive out to assess it in person or send someone back a second time for details that may have been missed. Wilde estimates that alone saves the team five to ten hours a week that used to spend driving to and from properties.
“When maintenance is reported, we don't have to have a manager go out. Staff will report maintenance, and we can go, hey, while you're there, can you take a photo of the actual issue — and then we'll get it sorted.”
The team on the ground felt the difference too. “They were great. They loved it,” Wilde said. “Breezeway is much easier for them, being able to visualize and do the rostering and not miss anything, and assign tasks and the communications.”
A platform like this is an essential component of effective property management. It provides the visibility needed to monitor property activity, allocate tasks efficiently, and ensure commitments made to property owners are consistently delivered. Having clear oversight and accountability gives both our team and our owners confidence that nothing is being missed.
