The Situation

Before implementing Breezeway, VayK struggled to manage its growing operations across Dubai. Scheduling and task management were handled through WhatsApp group chats, making it difficult to track cleanings and maintenance, especially with third-party vendors. Without visibility, last-minute guest requests and quality issues were challenging to manage, impacting efficiency and guest satisfaction.

Before Breezeway, VayK relied heavily on WhatsApp group chats to manage cleans, inspections, and maintenance. Important updates were buried in photo threads, and operations lacked transparency. This created stress for the team and risked missed cleans or last-minute guest issues.

With Breezeway, the VayK team now uses automated scheduling directly tied to Avantio reservation dates. Instead of toggling between chats and spreadsheets, tasks are automatically generated and assigned. “Before, I would spend hours jumping between chats and photos just to confirm something was done. Now I can see it all in one place with one click. That saves me at least two hours every day,” said Hamza, Operations Manager at VayK.

Today, Breezeway’s centralized scheduling gives Hamza and his team complete visibility into check-ins, check-outs, and task progress across 160+ apartments. Cleanings are tracked in real time, inspections are logged digitally, and every task is documented with photos.

Improved visibility and communication with third-party vendors

One of the biggest transformations came when VayK onboarded their third-party housekeeping and maintenance companies into Breezeway. Previously, only coordinators communicated updates, leaving gaps in visibility. With Breezeway, the entire vendor staff can now log updates directly, share photos, and complete tasks using checklists.

Hamza noted that the Breezeway app and language translation feature “made it 10 times easier for them” to adopt the software, ensuring consistency and accuracy across all teams. Now, Hamza can see exactly when a task starts and finishes, track how long it takes, and confirm when an apartment is ready for guests.

With this proactive approach, Airbnb review scores have climbed significantly, with most listings now nearing a perfect 5.0 rating. Guests frequently comment on the cleanliness and readiness of the apartments. With full visibility into task completion, Hamza’s team can now confidently accept early check-in requests and accommodate last-minute bookings, further delighting guests.
